About These Terms

These terms apply when you book a one-to-one session, acupuncture appointment, workshop, or online course with Mind Body Energy Matters. Please read the relevant service description, price, dates, and these terms before paying.

Services

Mind Body Energy Matters provides energy medicine, acupuncture, EFT, mental health coaching, creative practices, workshops, and online courses intended to support wellbeing. These services are complementary and are not a substitute for medical or psychiatric care.

Booking and Payment

  • A booking is confirmed when payment has been received, or when a written payment plan has been agreed and any required first instalment has been paid.
  • The total price and any applicable charges will be shown before payment.
  • If an agreed instalment is missed, we may pause access to the service and contact you to resolve the payment. Instalments already due remain payable under the agreed plan.
  • Current service prices may change for future bookings. A change will not alter the price of a booking already confirmed.

One-to-One Sessions

Structure and Price

  • One-to-one packages include one two-hour foundation session and three 75-minute follow-up sessions.
  • The four sessions should normally be completed within six months of the first session.
  • Standalone acupuncture appointment fees are shown on the booking page and in service descriptions.
  • Acupuncture is available in person only. Other one-to-one services may be available in person, online, or in combination, as agreed.

Cancellation or Rescheduling by You

Please give at least 48 hours notice if you need to cancel or reschedule a one-to-one appointment. With less than 48 hours notice, or if you do not attend, the session fee will normally be forfeited. Genuine exceptional circumstances may be considered at Helen's discretion.

If you are late, the session may proceed but will still finish at the original end time. If you are more than 15 minutes late and the session cannot reasonably proceed, it may be treated as a late cancellation.

Unused Package Sessions

Unused package sessions normally expire six months after the first session. If illness or another significant circumstance prevents completion, please contact us before the end of the six-month period. Any extension or transfer to another person must be agreed in writing and is not automatic.

Workshops

  • If you cancel your place at least 10 calendar days before the workshop, you will receive a full refund.
  • If you cancel within 10 calendar days of the workshop, the fee is non-refundable.
  • Where space is available, we may offer one transfer to a future equivalent workshop instead of a refund. A transfer is discretionary and must be agreed in writing.
  • If Mind Body Energy Matters cancels the workshop, you may choose a suitable replacement date or a full refund.

Online Courses

  • The course description and booking page will state the schedule, price, access period, refund deadline, minimum enrolment, and whether teaching sessions are recorded.
  • Any course-specific cancellation deadline shown before payment forms part of these terms, subject always to your statutory rights.
  • After the stated refund deadline, the course fee is non-refundable if you decide not to attend. Where recordings are included, you may continue to access them for the stated access period.
  • If the stated minimum enrolment is not reached, we may cancel or postpone the course. If we cancel, you will receive a full refund; if we postpone, you may accept the new date or request a full refund.

Statutory Consumer Rights

Nothing in these terms limits any mandatory rights you have under Irish or applicable EU consumer law. Depending on the nature of the service and how it is purchased, a statutory withdrawal period or an exception may apply. Where the law gives you a right to withdraw, we will provide the required information before the contract is made.

If you ask us to begin providing a service during an applicable withdrawal period, we may ask for your express request and acknowledgement. If you later withdraw within that period, you may be required to pay a proportionate amount for services already supplied, where permitted by law.

Changes or Cancellation by Mind Body Energy Matters

If we must cancel or materially reschedule a service, we will give as much notice as reasonably possible and offer a suitable alternative or a refund for the affected service. We are not responsible for consequential expenses, such as travel or accommodation, except where the law requires otherwise.

Group Conduct and Confidentiality

Participants must behave respectfully and must not harass, discriminate against, record, or disrupt other participants. We may remove a participant whose conduct creates a safety, privacy, or serious disruption concern. A refund will not normally be provided where removal results from a serious breach of these terms.

Participants must not repeat, publish, record, or share anything that could identify another participant or reveal their personal story. Helen will communicate and uphold these rules, but cannot guarantee that every participant will comply. Please share only what feels appropriate in a group setting.

Information may be disclosed where required by law or where there is a serious safety concern and disclosure is reasonably necessary to protect you or another person.

Course Recordings

  • Only courses clearly identified before booking as recorded courses will be recorded.
  • We aim to record teaching content only. Personal sharing and discussion will not intentionally be included in the participant recording.
  • You may keep your camera off, mute your microphone, and use a first name or agreed display name.
  • If we wish to include an identifiable contribution from you, we will ask for separate consent. Declining consent will not prevent you from participating in the course.
  • If personal or sensitive information is captured unintentionally, please notify us promptly. We will take reasonable steps to remove it from the participant version where practicable.
  • Unless a different period is stated before booking, recordings will be available to registered participants for 12 months after the course ends and deleted within 30 days after access closes.
  • Recordings and course materials are for the registered participant's personal use. They must not be copied, downloaded, recorded, published, or shared unless written permission has been given.

Course Materials and Intellectual Property

Practice sheets, videos, recordings, written exercises, and other course materials remain the intellectual property of Mind Body Energy Matters or the identified rights holder. Your booking gives you a personal, non-transferable right to use them for your own learning.

Online Participation and Technical Requirements

Online services are normally delivered through Zoom. You are responsible for a compatible device, stable internet connection, and a reasonably private setting. We will take reasonable steps to help with access problems, but are not responsible for failures caused by your device, connection, or third-party services outside our reasonable control.

Wellness and Medical Responsibility

You remain responsible for your healthcare decisions and for seeking appropriate medical or mental health advice. Please tell us about information that may affect whether a service can be provided safely. Do not stop or change prescribed treatment without consulting the relevant healthcare professional.

Liability

Nothing in these terms excludes or limits liability that cannot lawfully be excluded, including liability for death or personal injury caused by negligence, fraud, fraudulent misrepresentation, or a failure to provide a service with reasonable care and skill.

Circumstances Outside Reasonable Control

We are not responsible for delay or failure caused by circumstances outside our reasonable control, such as serious illness, natural disaster, widespread technology failure, or government action. We will communicate with you and offer rescheduling or a refund where appropriate.

Governing Law

These terms are governed by Irish law. The Irish courts will have jurisdiction, subject to any mandatory consumer rights you may have to bring proceedings in another country or jurisdiction.
